Warranty

Procolored covers most of the machine for 12 months, but the mainboard and the printhead are covered differently, and on two of our printers the mainboard is not covered at all.

In short: 12 months on everything not in contact with ink. On printers, the mainboard is covered for 6 months on single head models and not at all on dual head models, and the printhead is covered for 6 months only if the machine is registered. The clock starts the day your machine ships.

The mainboard, printhead and ink contact rows apply to our Procolored printers. The H15 heat press has no printhead and no ink system, so only the 12 month term is relevant to it.

Yes, that means our two most expensive printers have the least mainboard protection. That is Procolored's policy rather than ours, and we are not going to bury it.

If mainboard coverage matters to you, call us on 719-396-5661 before you order. Sometimes a single head machine does everything you actually need for less money and more coverage. Sometimes the dual head throughput is worth the risk. We will talk it through honestly either way.

Register, or the printhead is not covered

On printers, printhead coverage does not exist until the machine is registered. Not reduced. Absent.

Every printhead across our Procolored printers is on the manufacturer's eligible list, covering the L800, L1800 and XP600, so registration is worth doing on every unit.

We do this for you. About a week after your machine arrives we call, take the details, and complete the registration with you on the phone.

When the clock starts

From the date your machine ships, not the date it arrives and not the date you ordered.

In practice a few days of your coverage are used up in transit. There is nothing we can do about that, because it is how Procolored measures it, but you should know it rather than assume the clock starts when you unbox.

Who pays for what

If a covered component fails within the first month of you receiving the machine, Procolored covers the part and the shipping. After the first month they cover the part but not the shipping.

That is a real difference. If something feels wrong in the first few weeks, tell us immediately, because it is the cheapest window you will ever have.

What is not covered

  • Dual head mainboards, meaning the F13 Pro and the VF13 Pro
  • Ink contact components other than a registered printhead
  • The printhead on an unregistered printer
  • Damage from misuse, accident, or unauthorized modification
  • Normal consumption of consumables
  • Anything after the applicable period for that component

Making a claim

Call us first on 719-396-5661. We will open it with you.

Procolored handles warranty service directly. Their process is remote support first, and if it cannot be fixed remotely the machine goes to their California depot for repair.

One practical note: Procolored's own after sales scheduling runs on China business hours, so a same hour answer is not always realistic. Call us and we will cover the gap, 7am to 7pm Mountain, seven days a week.

Do not ship anything before speaking to us. An unauthorized return can void your coverage.

Ink and your warranty

This applies to our printers. Procolored's position, in their own words:

"The warranty for the ink-contact components requires the printer exclusively use Procolored inks. Warranty coverage does not include the printhead blockage resulting from the use of inks from other brands."

What that means in practice: their condition is scoped to ink contact components, meaning the printhead specifically. It does not reach the frame, the motors, or the electronics.

We stock genuine Procolored ink, so buying from us keeps you squarely inside their condition. If you are considering a third party alternative, call us first and we will tell you honestly what it does and does not affect. A blocked printhead is an expensive way to save money on ink, and it is the single most common avoidable failure on these machines.

Extended coverage

Procolored sells an extended warranty taking total coverage to up to 3 years. It must be bought within 365 days of your machine purchase, and conditions apply.

Ask us before that window closes and we will tell you honestly whether it is worth it for your volume. On a machine you run daily it usually is. On one you run weekly it usually is not.

Return & Refund Policy

There is one rule here that matters more than everything else on this page, so please read the ink warning before you plug anything in.

In short: Machines come back within 7 days of delivery, but only if no ink has ever been added. Sealed consumables come back within 30 days. Neither carries a restocking fee. Anything damaged, defective or incorrect is on us and costs you nothing.

The clock starts the day your order is delivered, not the day you ordered.

You get more time on consumables than on machines because a sealed bottle of ink is genuinely resaleable in a way a primed printer isn't.

Read this before you plug it in

Once ink goes into the machine, it can't be returned. Not partially, not with a fee, at all.

This is the manufacturer's rule and it is absolute. Priming ink through a printhead is irreversible: the ink system, dampers and head are wet from that point on, and no one can sell that machine as new again.

What that means in practice: you can unbox it, look at it, check it fits your space, confirm it is the right model, and plug it in to see it power up. The moment you fill the ink tanks or run a prime cycle, the return window is over regardless of how many days are left.

If you're unsure whether a machine is right for you, call us before you fill it on 719-396-5661. We will talk through your workflow, your substrates and your volume. That conversation costs nothing. A primed printer costs the whole purchase.

What condition it needs to be in

Machines:

  • No ink has ever been added. No filling, no priming, no test prints
  • Original packaging: the wooden crate, protective film, foam and all inserts
  • All accessories, cables, software and documentation included
  • No signs of installation, mounting or operation
  • Undamaged and unmodified

Consumables:

  • Factory seal intact. Bottles unopened, film rolls still wrapped
  • Outer box undamaged and complete
  • All parts of a set present. A five colour ink set comes back as a set
  • Resaleable: no crushing, tearing, leaking or shelf wear
  • Within its shelf life, with any date coding still legible

Once the seal is broken, it's final sale. There is no way to verify an opened bottle hasn't been partly used, decanted or contaminated, and contaminated ink can destroy a printhead, so no one resells it. If you're not certain an ink or film is right for your printer, call us before you open it on 719-396-5661. We will check it against your model in about a minute. That call is free. An opened litre of white ink is not.

How to start a return

  1. Call 719-396-5661 or email info@veprintshop.com within your window, with your order number. Every return needs authorization first. Anything sent back without it can't be accepted.
  2. We confirm eligibility and send the return address with full instructions.
  3. Repack it in the original crate or packaging and ship it. Insure it and keep your tracking.
  4. We inspect it on arrival and email you to confirm your refund.

Who pays return shipping

Changed your mind, or ordered the wrong thing: you cover return shipping, and you can pick the carrier. Your original outbound shipping charge isn't refunded. Consumables are parcel sized, so this is usually modest.

Arrived damaged, defective or incorrect: we pay both ways and you pay nothing.

What we can't take back

  • Any machine that has had ink added, at any point. No exceptions
  • Anything powered on with consumables loaded, installed, or showing signs of operation
  • Machines returned without the original crate and packaging
  • Opened consumables. Inks, films, powders, transfer media and cleaning fluids are final sale once the seal is broken
  • Printheads. Final sale, no exceptions, per manufacturer policy
  • Partial sets. A five colour ink set has to return complete
  • Anything past its shelf life or with illegible date coding
  • Anything showing leaking, crushing, tearing or shelf wear
  • Anything requested after your window has closed
  • Custom, special-order or personalized items, and gift cards
  • Machines sold as certified pre-owned or used
  • Equipment bought for one-time or temporary use, such as a single trade show, rather than ongoing production

If it arrives damaged

Machines ship crated, by air express rather than truck freight. Even so, inspect the crate before you accept it.

If anything looks damaged, photograph it immediately and email info@veprintshop.com the same day with your order number, then call 719-396-5661.

Keep all packaging, including the shipping box and any absorbent material, until the claim is closed.

Damaged, defective or incorrect: we cover shipping both ways and you pay nothing. The no-ink rule and the sealed-only rule don't apply, because obviously you had to open the crate or the box to find the problem.

If a bottle is leaking, handle it with gloves and don't inhale the vapour. Photograph it, seal it in a bag, and call us.

Defective or incorrect items

Report a defective machine, a faulty consumable or a wrong item within 5 business days of delivery. Call us on 719-396-5661 rather than troubleshooting on your own.

The manufacturer runs a 7 calendar day defect window from receipt, so the sooner we hear from you the more room we have to work. Once we confirm a replacement, it ships within 48 business hours.

Don't ship anything back before contacting us. An unauthorized return can void your coverage.

Running non-genuine ink through the printer can affect your machine coverage, and ink-contact components are excluded either way. If you're considering a switch, call us first. For the full picture, see the Warranty tab on this page.

Your ink and powder ship separately

If you ordered consumables alongside a printer, they travel as separate consignments, because ink and powder are classified as special cargo and can't ship with the machine. They will arrive on a different day. Nothing is missing.

Cancellations and exchanges

Before your order ships, cancelling is free with a full refund and no fees. Call us rather than emailing, because email can sit unread while a crate goes on a truck.

Once it ships, the return terms above apply, which means return freight at your cost.

We don't offer exchanges, on machines or consumables. The fastest route to the item you actually want is to return the one you have and place a new order. Call us on 719-396-5661 and we will run both sides at once, so you're not waiting on a refund to clear before the new machine ships. The same conditions apply: no ink added, original packaging, within 7 days.

Refunds

We email you once your return is received and inspected. Approved refunds go to your original payment method within 14 business days.

Refunds cover the invoiced purchase price. Original shipping charges aren't refundable.

Shipping Policy

Shipping is free on this product, and on everything else we sell from this brand, anywhere in the contiguous United States. No minimums, no fine print, and no surprise charges at checkout.

In short: Free shipping, dispatched within 2 business days and delivered in 3 to 7 business days. Your ink and powder ship separately from the machine, which is normal and means nothing is missing. We ship to the contiguous United States only (the lower 48 states and Washington, DC). Inspect the crate before you sign for it, because that signature is what a damage claim turns on.

What shipping costs

Free, on machines and consumables alike, within the contiguous United States. No minimum order.

If a product is ever excluded from free shipping, the charge is shown at checkout before you pay.

The contiguous United States only (the lower 48 states and Washington, DC). We don't ship to Alaska, Hawaii, US territories or military APO/FPO addresses, internationally, to PO Boxes, or to freight forwarders.

Order confirmation

As soon as you place your order we send you a confirmation email. That means we have received your order and authorized your payment. It is an authorization, not a charge.

We then check immediately that your items are in stock and ready to ship. If something is backordered or unavailable, we release the authorization and email you to discuss the options rather than holding your money.

Once we have confirmed everything is available, we capture the payment and start preparing your order.

Orders placed after 5pm Mountain Time (Denver) start processing the next business day.

Pre-orders and repair parts ship based on actual availability and can take longer. If that applies to your order, we give you the expected date before you pay.

All timelines mean business days, Monday to Friday, excluding public holidays.

Order shipment and tracking

We send your shipping confirmation and tracking within 24 hours of your order leaving the warehouse, to the email address you gave at checkout.

If you haven't heard from us within 4 business days of ordering, email info@veprintshop.com or call 719-396-5661 and we will chase it.

How it ships

Machines ship crated, by air express rather than truck freight, which is faster than the LTL freight most equipment in this category moves on.

Consumables ship by parcel carrier.

Your ink and powder ship separately

Ink and powder are classified as special cargo and can't travel with the machine, so they move as separate consignments and will arrive on a different day.

If your printer arrives without ink, nothing is missing. Your ink is on its own shipment.

Inspect before you sign

This is the single most important section on this page. Once you sign a clean delivery receipt the carrier's liability is largely discharged, and a damage claim becomes very hard to win for you and for us.

Before you sign:

  • Inspect the crate, box and packaging. Look for crushing, punctures, tears, water staining, tilt or shock indicators, and shifted contents
  • If you see any damage at all, even minor, write it on the delivery receipt before you sign. Be specific, for example "crate corner crushed, bottom left". Photograph it before the driver leaves
  • If the damage looks severe you can refuse the shipment. Note the reason on the receipt and call us right away on 719-396-5661
  • Keep all packaging. Don't discard the crate, box, foam or pallet until the claim is closed. Carrier inspection of the original packaging is a condition of the claim, and throwing it out can void it

If it arrives damaged

If you have accepted the delivery, photograph any damaged packaging or products immediately.

Email your photos to info@veprintshop.com within 48 hours of delivery with your order number, and call us on 719-396-5661.

Call the same day if you possibly can. Our suppliers hold us to windows as short as two days from receipt, and once that window closes the claim can't be filed with the carrier at all.

Concealed damage, meaning damage you find after unpacking where the outside looked fine, must also be reported within 48 hours of delivery, with the packaging kept.

If a bottle is leaking, wear gloves and don't inhale the vapour. Photograph it, bag it, and call us.

If your shipment is lost or stalls

If tracking stops updating for more than 2 business days, or a delivery date passes with nothing arriving, tell us. We open the carrier trace on your behalf.

We respond within 1 hour, 7am to 7pm Mountain Time, seven days a week, on 719-396-5661 or info@veprintshop.com.

Address accuracy

Please double check your shipping address at checkout. Corrections after dispatch trigger carrier fees, and address change fees incurred after dispatch are passed on to you at cost.

Refused or undeliverable shipments

If a shipment is refused without cause, or comes back to us as undeliverable because of a wrong address or repeated missed appointments, return freight and any carrier storage fees are deducted from your refund.

This never applies when you refuse a delivery because of visible damage.
